The Bulk Upload tool allows Course Upload Administrators (CUAs) to add or update multiple course records simultaneously using a spreadsheet. This method is the most efficient way to manage large course catalogs within the Acadeum Course Share (ACS) platform.

Accessing the Bulk Upload Tool
To begin the bulk upload process:
- Log into Acadeum Course Share using your CUA designated login information (Image 1). Click here to learn more about the CUA role.
- Navigate to the All Acadeum Courses page in the left navigation pane (Image 2)
- Click the +Upload Courses button located at the top right of the screen (Image 3)
- Select Upload Course Details File (Image 4 below)
- Click Next (Image 5)
Preparing and Loading Your File
- Ensure your institution's name is populated in the required Institution field (Image 1)

Prepare your data using one of the following methods:
- Download Template: Click to download a blank Course Upload Template in Excel or CSV format (Image 2)
- Google Drive: Utilize a pre-filled file from your designated institution folder
- Upload your file by using Drag & Drop or by selecting Browse a File (Image 3)
Reviewing the Upload Preview
Once the file is loaded, an Upload Preview will appear listing every course section and its current validation status.
| Status | Meaning |
|---|---|
| Created | The course is new and has never been uploaded to ACS |
| Updated | The course exists on ACS and is being updated with new information |
| Error | There is a formatting issue or missing data that must be resolved |
Note: These statuses indicate the system has read your file, but the data has not been fully processed into the live catalog yet.
Correcting Validation Errors
If an Error status appears (Image A), the problematic information is automatically removed, and the cell will be outlined in Red with an exclamation point icon. (Image B)
Fix in File: You may click Cancel (Image C) to exit and fix the data in your original spreadsheet before re-uploading
Fix in ACS: You can correct information directly within the Upload Preview cells
Common Issue: The Credits column cannot contain a range (e.g., "3-4"). It must be a single numerical value.
Applying Advanced Settings
After resolving all errors, click Next to reach the Advanced Settings tab. Most bulk uploads do not require these settings, but they are available for specific restrictions:
Closed Consortium: Limits visibility of these courses/sections to specific consortia.
Limited Institution Sharing: Limits visibility to specific partner institutions only.
Differential Pricing: Applies a unique price to the specific sections in your file.
Tip: Special consortial pricing is not managed here; it must be managed on the specific Consortium Profile page.
Select Upload to finalize your bulk submission.
