This guide is intended for Home Institution (HI) administrators supporting students enrolled in courses through Acadeum Course Share (ACS). It explains how grades are submitted, viewed, and managed in Acadeum, and how Home Institutions access final grades for students enrolled at Teaching Institutions (TIs).
Grades are submitted by the Teaching Institution through Acadeum and are used by the Home Institution to record academic outcomes in their Student Information System (SIS).

How Grades Work in Acadeum (HIs)
Within a consortial agreement, Teaching Institutions submit final course grades to Home Institutions through the ACS Administrator Application.
Teaching and Home Institution grading scales may differ. While the Teaching Institution assigns the final grade using its institutional grading scale, the Home Institution is responsible for translating that grade according to its own academic policies before recording the grade in its SIS.
Teaching Institution Grade Timelines
Teaching Institutions typically submit final grades within 10 business days of course completion. This timeline may vary based on:
- The Teaching Institution’s academic calendar
- Extensions or incomplete grades
- Internal grading and approval processes
If the 10-business-day window has passed and a grade is still missing, HIs may follow the escalation steps outlined in Requesting a Grade Rush below.

How Home Institutions Translate Grades
Teaching Institutions submit final course grades through Acadeum Course Share using their own institutional grading scales.
Once submitted:
- Acadeum displays the grade exactly as entered by the Teaching Institution
- Acadeum does not convert, normalize, or interpret grades
The Home Institution is responsible for:
- Reviewing the submitted grade
- Translating it to their institutional grading scale, if needed
- Recording the translated grade in their SIS
Because grading scales and transcript policies vary by institution, grade translation is performed outside of Acadeum in accordance with Home Institution academic guidelines.
Note: Teaching Institutions are not required to submit numerical grades to ACS; only letter grades are required. If your institution needs a numerical grade, please request it directly from the Teaching Institution by contacting the Teaching Student Contact listed on their institutional profile page.
Transcribing Credit
When a student enrolls in a course at a Teaching Institution under a consortial agreement, both the final grade and credit are transcribed on the Home Institution’s transcript.
- The Teaching Institution submits final grades through the ACS Administrator Application
- The Home Institution is able to securely view these final grades in ACS
- The Home Institution records the final grade in its SIS and awards credit according to its institutional policies
Note: Acadeum facilitates the process but does not determine transferability or transcript outcomes.
Viewing Enrolling Grades
The Enrolling Grades tab in Acadeum Course Share displays final grades for students your institution has enrolled in consortial courses at other institutions.
How to View Enrolling Grades
To access grade information for students enrolled in other institutions’ courses:
- Login to ACS
- Under Academics on the left navigation pane, click the Grades drop down menu (v) (Image 2)
- Select Enrolling Grades (Image 3)
- Click the More Actions (three-dot) menu (Image 4 below)
- Click See Details to view additional course information, student details, as well as Teaching Student Contact information or click Download to export the individual record into an excel file (Image 5)
Note: Unless your institution is set up for automated record transfer, the final course grade earned should be manually entered into your institution’s SIS.
Why a Grade May Be Missing
Grades will not appear in Course Share if:
- The course has not yet concluded
- The student enrollment has not been marked Complete in ACS
- The Teaching Institution has not submitted final grades
- The student has been granted an extension or incomplete
- The student is enrolled in a non-consortial course
If a grade is missing and the course has ended, refer to Teaching Institution Grade Timelines above.

Downloading Grade Reports
- Login to ACS
- Under Academics on the left navigation pane, click the Grades drop down menu (v)
- Select Enrolling Grades
- Select the filters you would like to export
- Click Download
Requesting a Grade Rush
In situations where a grade is urgently needed (e.g., graduation, financial aid, transcript deadlines), Home Institutions may request a grade rush.
Note: Grade rushes are not guaranteed and are subject to the Teaching Institution’s policies and capacity.
How to Request a Grade Rush:
- Identify the Teaching Institution for the course
- Locate the Teaching Student Contact (TSC) listed on the Teaching Institution’s profile in ACS
- Email the TSC with:
- Student full name
- Course code and course title
- Term
- Reason for the rush request
- Requested deadline
Appealing a Grade
In some cases, a student may disagree with the grade received or believe an incorrect grade was entered in ACS. Acadeum does not have access to Teaching Institution courses and does not make grade determinations.
When a grade dispute occurs, Home Institutions should follow the steps below:
- Login to ACS
- Under Academics on the left navigation pane, click the Grades drop down menu (v)
- Select Enrolling Grades
- Click the More Actions (three-dot) menu
- Click See Details for the applicable enrollment to view the Teaching Student Contact (TSC) information for grade appeals
- This contact information is also included in the Grade Notification email
- Direct the student to email the Teaching Student Contact with the following information:
- Student name
- Course code and course title
- Term
- Reason for the grade dispute and any additional details
- For visibility, we recommend cc’ing the HI's Enrolling Student Contact (ESC)
Grade Notifications
For consortial enrollments, Acadeum automatically notifies the Home Institution in ACS when grades are initially submitted, updated or edited by the Teaching Institution.
How to View Grade Notifications in ACS
- Click the bell icon at the top of the page and click View All
- Select Grades to view your notifications (Image A below)
Students will also receive an email notification from support@acadeum.com with the subject line: "[Student Name], your grade has been posted!" as soon as the grade has been submitted in ACS by the Teaching Institution.
Tip: Students can track their grade history directly in the Acadeum Course Share Student Application, which can significantly reduce grade-related inquiries. If you are unsure whether your institution uses the Student Application, please contact your Acadeum Account Representative.
