This guide explains how to enroll students in courses through the Acadeum Course Share (ACS) platform.
The Home Institution (HI) can initiate enrollments by submitting enrollment requests three ways: via Acadeum's Quick Enroll feature, directly from a course search, and by reviewing incoming student registration requests submitted in Acadeum Course Share's Student App.
Home Institutions manage these request by previewing details prior to submitting a request to the Teaching Institution (TI), then can track and modify requests after submitting a request to the TI depending on the status of the request.

How to Submit an Enrollment Request
There are three ways that Home Institutions can submit enrollment requests to a Teaching Institution:
Option 1: Quick Enroll
Quick Enroll uses your Home Institution course information and AI-powered matching to search the entire Acadeum network and return the best available course and section matches for your students.

Option 2: Enroll via Course Search
Use this method if you have already identified the specific course section you want a student to take and need to bypass the student application process.
- Navigate to the Discovery & Guidance header in the left navigation pane (Image A)
- Click the dropdown (v) next to Course Catalog and select All Acadeum Courses (Image A)
- Search for and select the desired course
- Within the course details area, click Enroll (Image B)

Map the Course Substitute: Every course must be linked to an equivalent at your institution
- Select a course from the Course Substitute dropdown (Image C)
- OR select Create New (Image D) and manually enter the Course Code and Course Title and click Save
- Select a course from the Course Substitute dropdown (Image C)
- Click Next

Select the student(s) from your existing records (Image E)
- To add a student not currently in the system, click +Add a Student (Image F)
- To add a student not currently in the system, click +Add a Student (Image F)
- Click Next
- Review the Course Overview and Students Overview and click Enroll
You will see the following confirmation pop up:
Note: Enrollment requests are sent to the Teaching Institution (TI) for final review. The enrollment is not confirmed until the TI accepts/approves the request. Home Institutions will receive an automatic notification when an enrollment request is either approved or denied.
Option 3: Enroll via Student Registration Request
If your institution uses the Acadeum Course Share Student Application, students will submit requests for courses they wish to take. You must review and approve these requests to finalize the enrollment.
- Navigate to the Enrollments header on the left navigation page and click the dropdown (v) next to Student Requests
- Select New Requests to review pending applications

Managing Enrollment Requests
Previewing Enrollment Requests Before Submission
Before an enrollment request is sent to the Teaching Institution, pending the option utilized to submit the request, you must verify all details in the Course Overview and Students Overview Summary Screen:
- To Unassign a Student: Click the "x" button to the right of the student’s name to pull them from the request (Image A)
- To Edit Information: If mapping or course details need correction, click Back to return to previous steps (Image B)
- To Finalize: If all information is accurate, click Enroll (Image C)
Tracking Enrollment Requests
Once you click Enroll, the request is submitted to the Teaching Institution for review.
- Monitoring Progress: Review the status on the LIVE tab of the Manage Enrollments page
- The Approval Flow: Requests will sit in the Requested area until the Teaching Institution approves them, at which point they move to the Accepted area
Removing a Request Before TI Review
Use this process for enrollment requests that have been sent to a Teaching Institution (TI) but are still awaiting final review (Accept/Deny).
- Locate the student record in the Requested status (Image A)
- Click the 3-dot icon to the right of the status
- Select Remove from the drop-down menu next to the student record (Image B)

Result: This action immediately finalizes the request and pulls it from the Teaching Institution’s queue
Understanding Enrollment Request Statuses
Once a request is submitted, you can track its progress on the Manage Enrollments page (Image A) under the Live tab (Image B). You can use the Status filter (Image C) to find Requested, Accepted, and Denied enrollments.

| Requested | The request has been sent to the Teaching Institution and is awaiting their review. |
| Pending |
Prior to the course section's Start Date* The Teaching Institution has approved/accepted the enrollment. The student is officially enrolled in the course section., but it has not yet started. |
| Active |
On/after the course section's Start Date* The Teaching Institution has approved/accepted the enrollment. The student is officially enrolled in the course section, and it has started. |
| Denied |
The Teaching Institution could not accommodate the enrollment request. (e.g., the section is at capacity, the student didn't meet prerequisites, etc.) |
*If an enrollment is approved by the TI on/after the Start Date listed in ACS, their status may temporarily show as Pending. ACS will correct this after the Drop Date. This poses no problems for the enrollment, but if you desire it to be updated faster, please request a status update by emailing support@acadeum.com.
