Contacts is located in the Identity & Access Management section of the Admin Center.
This feature was previously housed under Settings > Contacts in Acadeum Course Share (ACS).
The Contacts tab lists the Individual or Group User that serves as the point of contact for specific activities on your institution’s account.
What is the difference between a Role and a Contact?
Every user must have a Role, but not every user is a Contact.
Multiple users vs. Single user
Multiple users can be assigned to the same Role, but only one user (one email address) can be assigned to each Contact.
For this reason, some Contacts may need to be assigned to a Group user account with a distribution list email address. See User Management for more information about creating an Individual or Group User account.
Automated outreach only vs. Manual outreach too
A Role determines what notifications a user will be sent automatically from Acadeum's platform.
An assigned Contact determines who Acadeum employees and other institutions will manually contact with questions or information regarding specific topics. Contacts are also sent relevant automated notifications.
Contact Management
Institutions are responsible for maintaining and updating both Individual and Group Contacts should any changes occur.
When a User is deactivated from the User Management page, that User will also be removed as any assigned Contact on the Contact page.
If a Contact is unassigned, Acadeum will not be able to provide appropriate support, so it is very important to keep the Contacts page updated. We recommend checking this page quarterly, if not more often.
Types of Contacts
Primary Contact (PC)
This individual or group is an institution's principal contact both for other institution leaders and for Acadeum team members. This contact is required for all institutions. Acadeum Support will correspond with the Primary Contact (PC) as a step in escalation if unable to reach other contacts listed below.
Primary Finance Contact (PFC)
This individual or group is an institution's principal contact for billing/payment activities on Acadeum Course Share. This contact is required for all institutions. Acadeum Support will correspond with the PFC if there are payment setup or other related needs.
Enrolling Student Contact (ESC)
This individual or group is a Home Institution's point of contact for its students who may have questions about your institution's registration process for courses via Acadeum. The Enrolling Student Contact (ESC) will be listed directly within an institution's student registration portal for students to see. Teaching institutions and Acadeum Support will correspond with the ESC regarding enrollment topics such as student participation/attendance, drop requests, and course search inquiries. This contact is required all for Home Institutions.
Teaching Student Contact (TSC)
This individual or group is a Teaching Institution's point of contact for all visiting/transient students from other institutions who are registered for your institution's courses via Acadeum. The Teaching Student Contact (TSC) will be listed in Acadeum's enrollment acceptance and other notifications to students. Home institutions and Acadeum Support will correspond with the TSC regarding enrollment topics such as student participation/attendance, course details, and syllabi. This contact is required for all Teaching Institutions.
Information Technology Contact (ITC)
This individual or group is an institution's principal contact for activities on Acadeum related to information technology (e.g. webhooks, integration, SSO). If applicable, the Information Technology Contact (ITC) receives email notifications regarding SFTP file uploads (e.g. errors). If needed, Acadeum Support will correspond with the ITC when troubleshooting user access issues. This contact is highly recommended for all institutions.
Marketplace Finance Administrator (MFA)
This individual or group is an institution's principal contact for billing/payment activities on Acadeum Skills Marketplace. Acadeum will correspond with the MFA if there are payment setup, cost questions, or other related needs. This contact is required for all institutions using Acadeum Skills Marketplace.
